Terms and conditions

Effective from November 5, 2026

These terms describe the rules under which we operate InSortio for you. We've tried to write them so you can understand them without a lawyer. If anything is unclear, write to us and we'll explain.

1. Who we are and what the terms cover

InSortio is operated by ITex Services s.r.o., Company ID 08886164, VAT ID CZ08886164, registered office Knapovec 180, 56201 Ústí nad Orlicí, C 45260 vedená u Krajského soudu v Hradci Králové. You can reach us at info@insortio.com.

The terms apply to everyone who creates an account with us and uses the service (the “customer”). The service means sorting email in the mailboxes the customer connects, the daily digest, the customer portal and add-ons (including features using artificial intelligence).

We provide the service to businesses. If you set it up as a consumer, you have additional statutory rights — in particular the right to withdraw from the contract under Article 7.

We sell the service both inside and outside the European Union. Prices and documents are in Czech koruna, and you receive documents in Czech or English according to your account language. Tax depends on the customer's country, see article 5. If we cannot provide the service in a particular country, we will refuse the order and refund any amount paid.

2. How the contract is formed

The contract is formed when you confirm your registration using the link in the e-mail or first sign in with Google, or when we create an account for you by agreement. A registration that nobody confirms is deleted after 14 days.

A new account starts with a trial: it is free, lasts 30 days and lets you try the features of the trial plan listed in the price list. When it ends, sorting stops, but this does not delete your settings, learned senders or mail. Once you order a paid plan, you continue where you left off.

You are responsible for your account credentials. We recommend turning on two-factor authentication in the portal.

3. What we do for you

We connect to your mailboxes via the standard IMAP protocol using the details you provide. We continuously sort new mail into folders in your mailbox (e.g. Later, Newsletters), learn from where you move messages, and send a daily digest of set-aside messages.

The core of the service is moving messages between the folders of your mailbox. We never delete messages permanently. A message only reaches Trash when you choose this: through an action in the digest or Big Cleanup, when the Black Hole period ends, or through automatic cleanup set to Trash. Your mail provider then manages Trash and may empty it itself. We only move messages out of Spam through spam rescue, which is on by default and applies to messages from known senders whose identity has been verified. If you choose to return a snoozed message with today's date, we save it again with the new date and remove the original copy. You can undo an ordinary move with one click or by moving the message in your mail program.

Without your settings, we send no mail on your behalf. E-mails only go out from features you turn on yourself: out-of-office reply, notice to the sender, unsubscribing from a mailing, forwarding from a folder and digest copy. We only forward or send a copy to another address after its owner confirms it through a link. We keep developing the service and may change its appearance and inner workings, including which language model we use. We will not remove a feature included in your plan without at least one month's notice.

Plans differ in the number of mailboxes, team members and limits. You'll find the current details in the price list and in your portal.

4. What we need from you

You may only connect mailboxes you're authorised to use — your own, or mailboxes of your employer or company with the consent of whoever decides about them. For shared mailboxes, you're responsible for making sure the people using them know about the sorting.

Where your email provider allows it, use an app password for InSortio instead of your main password. You can change the password or disconnect the mailbox at any time; we then delete the stored password.

You may not use the service to send unsolicited messages, circumvent our limits, run load tests without our agreement, or act in a way that could harm us or other customers. You may not attempt to access other customers' data.

If you seriously breach these rules, we may suspend the service. Where possible, we'll warn you in advance and give you a chance to put things right.

5. Prices and payment

The price is determined by your chosen plan and add-ons; we may also agree on an individual price, which then applies only to the plan it was agreed for. Customers with a billing address in the Czech Republic are charged in Czech koruna, all others in euros according to the euro price list; the currency is set by the country in your billing details at the time of the payment request. Prices in the price list are excluding VAT. Add-ons are paid per mailbox; if you connect another during the period, you pay a proportional amount for it until the period ends.

Payment is made in advance, monthly or annually as you choose. After you order, we issue a payment request due in 14 days; after payment we activate the plan and send an invoice (tax document) to the billing e-mail you set in the portal and confirm through a link. Until it is confirmed, we send documents to the account owner.

You can pay by card via the payment gateway, by QR code, or by bank transfer with the variable symbol from the request. Payments in euros are accepted by SEPA transfer to our euro account shown on the request, with the variable symbol in the message or reference, and by card once we offer card payments in euros; the QR code is for payments in koruna only. Card payments are processed by the payment gateway, not by us; your card number never reaches us.

If payment for the next period doesn't arrive, sorting stops fourteen days after the paid period ends. We don't delete data or settings and everything resumes once you pay.

We may change prices. A change affects you only from the next period and we'll tell you at least one month in advance. If you don't like the new price, you can terminate the contract before then.

If you order a higher plan or an extra add-on during a paid period, it takes effect right after you pay the balance: the price of the new choice for the rest of the period minus the unused part of the current one. When moving from monthly to annual payment, the new annual period starts on the payment date and we deduct the unused part in the same way. A lower plan takes effect only after the paid period ends, and we do not refund amounts already paid. If you have already paid for the next period as well, even a higher plan starts after it. If no paid period is running, the new plan applies immediately after payment.

When paying by card, you can separately switch on recurring payments for future periods. Article 6 describes how they work.

Tax depends on the customer's country and details at the time of the payment request, and the invoice takes them from the request. In the Czech Republic we charge Czech VAT. We invoice a business in another EU state with a VAT number verified in the VIES system without VAT, and the customer accounts for the tax. We charge other EU customers VAT under the consumer rules: Czech VAT, or the rate of their state once we are registered to do so. We do not charge Czech VAT to customers outside the EU. You will see the amount before you order. If VIES is unavailable and we have not yet verified your VAT number, we charge VAT. You are responsible for the accuracy of your details, and we also check the country against where the order came from; we may refuse an order where these contradict each other.

Please pay in the currency of the payment request. If you send a payment in another currency, the bank converts it at its own rate and charges us a fee; we will invoice you that fee and any conversion shortfall, and we activate the subscription only once the full amount in the request's currency has been paid. Fees of your bank and any intermediary banks are borne by you.

6. Subscription renewal and recurring card payments

The subscription does not renew by itself unless you switch on recurring card payments under this article. Without them we do not store a card and will not charge you without your action.

Fourteen days before the end of the paid period we send you a payment request for the next period at your current price. If you don't want to continue, simply don't pay it or write to us.

Only you can switch on recurring payments, when paying by card, with a separate tick box “I agree to recurring payments”. We never set them up without your consent. They are set up solely to pay for the InSortio subscription you have chosen.

We always charge the amount on the payment request for the next period, that is the price of your plan and add-ons for the chosen period, monthly or once a year. We never charge more than the request. The amount changes only when you change your plan, add-ons or number of mailboxes yourself, or when the price list changes; we announce price changes a month in advance under article 5.

Before every charge we email you the amount and the charge date at least seven working days in advance. We only charge against an issued payment request, never earlier.

We confirm setting up recurring payments by email right away, within two working days at the latest: which card is used, what is charged and when, how long the consent is valid and how to cancel it.

You can cancel them at any time in the portal under Subscription, or write to us at info@insortio.com. Cancellation takes effect immediately and nothing further is charged; the subscription runs until the end of the paid period. Recurring payments also end when you request deletion of your account or when it is blocked.

The consent is valid for at most three years, after which we ask you to confirm it again. We keep the consent and the payment details for as long as the subscription lasts and for twelve months after that, so that we can document them.

Your card number never reaches us. The card is stored by the GoPay payment gateway under the PCI DSS security standard; all we know is the card type and its last four digits, so that you can tell which card you pay with.

If a charge fails, for example because the card has expired, we let you know by email and do not retry. You then pay the request another way under article 5.

7. Withdrawal from the contract

If you set up the service as a consumer, i.e. outside your business, you have fourteen days by law to withdraw from the contract without giving a reason and without penalty. The period runs from the day the contract is concluded.

Just write to us at info@insortio.com within that time. We'll refund the amount paid within fourteen days by the same method, unless we agree otherwise.

This is a digital service: if you wish to start using it immediately and agree to that, your right of withdrawal ends once the service is provided. Before deciding, you can try the service free for 30 days in the trial.

The fourteen-day period doesn't apply to businesses; for them, termination under Article 12 applies.

8. Availability and support

We run the service in the cloud and aim for it to be available continuously. However, we don't guarantee a specific availability. If you need it contractually, we'll agree individually.

Sorting also depends on your email provider being available. If their server refuses connections or the credentials change, sorting waits; mail stays in the inbox and nothing is lost.

We try to schedule planned maintenance outside peak hours. We provide support by email on business days and handle requests in the order they arrive.

9. Artificial intelligence and what to expect

Features using a language model (AI sorting, summaries, digest lines, reply drafts, the Setup Guide proposal) are optional. You turn them on yourself and can turn them off at any time.

With AI on, we send the language model provider only the necessary details about a message: for sorting, the sender and subject; for features working with text, also the beginning of the text without attachments, links and e-mail addresses. With your consent, the Setup Guide sends a summary of the mailbox (folder names, counts, company domains, no personal addresses) and your wishes. From AI we store the result, meaning a short text, not a copy of the e-mail. The data is not used to train models.

A language model can make mistakes: it may file a message in the wrong place or summarise it inaccurately. That is why AI never deletes or forwards anything, never sends anything to the Black Hole, and only saves reply drafts to the Drafts folder; only you can send them, after checking. We remember a sender from an AI decision only if their identity is verified, and senders learned this way never trigger forwarding.

10. Personal data

The mail in your mailboxes contains personal data about you and the people who write to you. You are the controller of this data and we process it only for you and only to the extent needed to provide the service. The processing terms are set out in the data processing agreement, which is part of these terms.

We store what sorting needs: the sender, subject and where the message went, for 30 days. If you turn on the excerpt in the daily digest, we also store the beginning of the message text, at most 300 characters, for the same period. Rules on message text read it only during evaluation. We do not store full message bodies or attachments. The Setup Guide keeps its analysis result (senders, domains, folders and counts) for at most 90 days. Mailbox passwords are encrypted and we delete them when the mailbox is disconnected.

For processing we use infrastructure providers (hosting, database, email sending) and — only with AI features turned on — language model providers. We'll send you their current list on request.

How we handle your data as a customer (account, billing) and data of website visitors is described in the Privacy policy.

11. Liability

We are liable for damage we cause by breaching our obligations. We're not liable for lost profit or consequential damage — for example a message you overlooked in the folder where the service placed it.

Total compensation is limited to the amount you paid us in the twelve months before the event. This doesn't apply to damage caused intentionally or by gross negligence, or where the law doesn't allow it.

We're not liable for outages of services we rely on (hosting, database, language model providers) or for your email provider being unavailable.

12. Termination and what happens to data

The contract is concluded for an indefinite period. You can terminate it at any time: simply do not pay for the next period and cancel any automatic payments, or write to us. The unused part of an annual payment is not refunded unless we agree otherwise.

We may terminate the contract with one month's notice. We may terminate it immediately if you seriously misuse the service.

You can request deletion of your account in the portal. We'll delete connected mailboxes including passwords, learned senders and message records; we keep only what the law requires, typically invoices. The mail in your mailboxes stays where it is.

13. Changes to the terms

We may change the terms. We'll let you know by email at least one month in advance. If you disagree with the change, you can terminate the contract before it takes effect; by continuing to use the service you accept the change.

We may make minor changes that don't affect your rights or obligations (typo fixes, clarifications) without notice.

14. Complaints

If the service doesn't work as it should, write to us at info@insortio.com and describe what's happening. We'll respond within three business days and agree on a solution.

If the service was unavailable for more than one day in a month and it wasn't caused by you, we may refund a proportional part of the price or extend the period.

15. Final provisions

The contract is governed by the law of the Czech Republic. Disputes we cannot resolve are decided by the court of the operator's registered office. This does not deprive a consumer living in another country of the protection given by the mandatory rules of that country's law, or of the right to turn to its courts.

We publish the terms in English as well. This is a translation for convenience; in case of conflict, the Czech version prevails.
